Knowledge stores

The briefing the AI reads along with every post.

Knowledge stores are the stable context source of your brand: facts, prices, products and team in one place. You do not train an AI model with them, you give it context – the right passages for every post instead of general world knowledge only.

Why this makes the difference: stable context instead of dilution

With many AI tools, quality depends on the prompt or chat history at hand. Context gets lost between sessions, thins out with every message or has to be pasted in again and again – and results drift. In ALLMEDIA, the context is fixed to the channel. That is the decisive difference.

    Without stable context

    • The prompt is rewritten or pasted in every time.
    • Context fades with every message and is lost between sessions.
    • Everyone on the team gets different results.

    With ALLMEDIA

    • Brand voice, audience, content structure and knowledge stores are fixed to the channel – every post starts with the same maintained briefing.
    • Always current: websites sync, files and texts you maintain in one place.
    • Consistent results, the same for every team member.

    How it works

From document to the right post – in four steps.

    1. 1Add knowledgeAs text, file or website – sorted into folders.
    2. 2Keep it currentWebsites sync on a schedule, files and texts you edit directly.
    3. 3Link it to a channelDecide per channel which knowledge is taken into account.
    4. 4The AI uses itThe most relevant passages flow into every post as context.

This is what knowledge stores look like in the app.

How you work with knowledge stores

A knowledge store is like a briefing the AI reads along with every post. You set it up once, keep it current and decide where it applies.

    1. 1Add knowledgeYou choose a target folder and the source type. Text you enter directly. Files you upload as PDF, DOCX, TXT or MD, up to 50 MB – scanned PDFs are read by AI text recognition, which costs credits. For a website you add one URL per store, and its main content is fetched. During setup, Brand AI also creates knowledge automatically from its research and your company website.
New knowledge store in the app: target folder “Product / Service”, source type text, file or website and a field for the text content
    2. 2Keep it currentFor website stores you choose an update interval – manual, hourly, daily, weekly or monthly –, switch on automatic updates or fetch the latest version with “Update now”. The app shows the last and next sync, detects changes and lists the credits per sync. Files you replace or have their text extracted again, texts you edit in the editor with formatting. Amy can suggest new knowledge sources and updates for you to confirm. Knowledge stores can also be filled via interfaces.
Editing a website knowledge store, Source tab: website URL, update interval weekly, automatic updates on, “Update now” and the last and next sync
    3. 3Link it to a channelIn the channel canvas, the knowledge store is a building block of its own connected to the AI model. There you decide which knowledge this channel should take into account. When creating a post you can also attach knowledge by hand as context.
Channel canvas in the app: brand voice, content structure, audiences and languages lead to the AI model, then to knowledge store, AI labelling and test generation
    4. 4The AI uses itEvery store is indexed for AI search. While creating, the content is searched semantically and the most relevant passages are used. Under “Used context” you see on each post what it is based on. Idea finder and editorial planning draw on your knowledge stores too.
Editing a knowledge store, Settings tab: details with auto-update and last sync, plus “Indexing for AI search” with the status Indexed

What belongs in a knowledge store

    1. Prices and plans

Current prices, plans and terms – so no post quotes old figures.

    2. Products and services

Product data, features and use cases.

    3. Team

Who is responsible for what, with roles and contacts.

    4. FAQ

Answers to the questions people keep asking.

    5. Mission statement

Mission, vision and values of your brand.

    6. Mandatory legal information

Details and wording that always have to be right.

Personal data of your customers, such as orders, invoices or emails, does not belong in it.

    What knowledge stores can do.

    Three source types

Text, file (PDF, DOCX, TXT, MD up to 50 MB) or website – plus the knowledge Brand AI creates during setup.

    Website sync

Manual or automatic – hourly to monthly, with last and next sync.

    Folders with a suggestion

For example brand identity, product/service, audience, tone of voice, legal and FAQ/knowledge. The app suggests a folder structure, in list or canvas view.

    Linkable per channel

Every channel uses exactly the knowledge that fits it.

    Used context

On each post you see which context went into it.

    Frequently asked questions

Is the AI model trained on my data?

Knowledge stores do not train a model. Your knowledge serves as context for your posts: the matching passages are passed along with every post. For the AI model you choose per channel between models labelled “EU” and “No data retention” and globally available models.

How is this different from prompting in a chat?

In a chat, the result depends on the prompt and history at hand: context thins out with every message, gets lost between sessions and has to be pasted in again. In ALLMEDIA, the context is fixed to the channel – every post starts with the same maintained briefing, the same for every team member.

    How current is the knowledge?

As current as your sources. Website stores sync on your interval or at the push of a button, files you replace, texts you edit directly. The app shows when the last and the next sync take place.

    Which files work?

PDF, DOCX, TXT and MD up to 50 MB. Scanned PDFs are read by AI text recognition, which costs credits.

Can I import a whole website?

For each knowledge store you add one URL whose main content is fetched. For more pages you create more stores.

    What do knowledge stores cost?

Maintaining knowledge stores is included in all plans, including the Free plan. Website syncs and text recognition for scanned PDFs use credits – the app shows how many.

Give the AI your briefing – once, for every post.
