In the Gallery you create folders and subfolders and move media by drag and drop. You assign tags in the media details; the search also finds media via these tags.

What is this about?
A growing Gallery becomes cluttered if everything is on one level. Folders and subfolders give it a fixed structure. Tags complement this: they feed into the search, so you can find media across folders too.
Prerequisites
- To create folders and edit media, you need at least the Editor role.
Step by step
- Open the Gallery. In the navigation, choose Content → Gallery.
- Create a folder. Open the arrow menu next to New and choose New folder. Enter a folder name and click Create. If you create the folder while you are in another folder, a subfolder is created.
- Sort media. Drag and drop media onto a folder or choose Move in the tile menu. You can also put folders into another folder by drag and drop or via Move.
- Assign tags. Open Edit details („Details bearbeiten“) in the tile menu and enter terms in the Tags field, separated by commas. When uploading with Enable AI analysis („KI-Analyse aktivieren“), the AI suggests tags.
- Search and filter media. Click the magnifying glass to show search, type filter and sorting. The search covers all folders and takes titles and tags into account. With the Smart search button, Amy also finds media approximately.

Options at a glance
- Rename, move, delete folders: Via a folder’s menu, choose Rename, Move or Delete.
- Navigation: A breadcrumb bar shows which folder you are in and takes you back to the top level.
- Type filter: All, Images, Videos or Documents.
- Sorting: Newest first, Oldest first, Recently updated, Name A–Z, Name Z–A, Largest first.
- Smart search: Semantic search via AI description, visible text in the image (OCR), recognized objects and tags. If it is currently unavailable, the Gallery shows the results of the normal search.
- Target folder for AI images: When taking over an AI image, you choose the folder directly.
Limits
- There is no separate filter bar for tags. Tags work via the search.
- If you delete a folder, all subfolders and files in it are irreversibly deleted as well. Move media you want to keep to another folder beforehand.
- There is no archive function. You can only delete media you no longer need or move it to a separate folder.
Tips
- Keep the folder structure flat, for example one level for campaigns or products and at most one more below.
- Agree on a short list of shared tags in the team and write them consistently. This way the search delivers reliable results.
- Logos and other brand assets are best kept in a separate folder.
Frequently asked questions
Can I filter by several tags at the same time?
Not via a filter bar. Enter the terms in the search or use Smart search, which also understands paraphrased queries.
Does the search only look in the current folder?
No. As soon as you enter a search term, the Gallery searches all folders of your workspace.
