Publishing content: how it works
From draft to publication: publish right away, schedule a date, track the status and fix errors.
Learning path: Ready to go in 30 minutes · 0/5
In the post you click “Publish” and choose “Publish now” or a date via “Schedule”. If an approval workflow is active, the post goes into approval first. The label on the post shows the status.

What is this about?
ALLMEDIA.AI publishes posts directly via the channel connection of the respective channel, for example on LinkedIn, in WordPress or as a newsletter draft. You don’t have to open the platform for this. Each post goes through fixed statuses:
Draft → (Awaiting approval) → Scheduled → Publishing … → Published
If publishing fails, the post is set to Failed and shows the platform’s original message.
Prerequisites
- The channel needs an active channel connection. Without a connection, a scheduled post is only marked internally as scheduled and is not published automatically.
- Your role must be allowed to publish. Viewers and external editors cannot publish.
- The number of channel connections depends on the plan: Free 1, Pro 6, Agentic 15. If a connection exceeds the limit, publishing is blocked (“Limit exceeded”). Details under Pricing.
Step by step
- Open the post. Open the post under Content → All Stories & Posts or in the Calendar. Check text, media and channel.
- Open the publish menu. Click Publish. At the top, under “Publish via”, you see which channel connection is used. If the connection offers several modes, such as draft or live right away, you choose it under “Mode” for this post.
- Publish right away. Click Publish now. The post changes to Publishing … and then to Published.
- Or schedule a date. Under Schedule, choose date and time or a quick option such as “Tomorrow” or “Next week”. The post then shows “Scheduled for …” and is published automatically at that time. You change the date via Change publication time or remove it with Remove schedule. The post is then a draft again.
- Mind the approval. If an approval workflow is active for the channel, the menu shows “Approval required” and the approvers. The post then goes into approval first (see Approval workflows).
- Track the status. The status label on the post, in All Stories & Posts and in the calendar shows the current state. For Failed, the platform’s error message is shown directly on the post. On the post card in the story you restart it with Try again.
Options at a glance
- Publish now: Publishes directly via the channel connection.
- Schedule: Publishes automatically at the chosen time.
- Draft with date: A draft can carry a date without being published automatically. With Activate schedule you turn it into a scheduled post.
- Mark as published manually: For posts you have posted yourself on the platform.
- Cancel publishing: Stops an ongoing publication.
- Withdraw: For WordPress there is Unpublish; for Mailchimp and Kit, withdrawing. For other platforms, you delete the post directly on the platform.
If it doesn’t work
- Failed: Read the error message on the post. Common causes are a text that is too long, media that is too large or an expired connection.
- Connection expired: Open Plan → Publishing and check the status of the channel connection. If it says “Expired”, reconnect and start publishing again.
- “Scheduled (time missing)”: The post has the status Scheduled but no date. Set a time via Change publication time.
Frequently asked questions
Can I still change a scheduled post?
Yes. Until it is published, you can adjust text, media and date.
Can I serve several channels at different times?
Yes. Each channel has its own post with its own date.
Why was my post not published right away?
Usually an approval workflow is active. The post then waits for approval. Or the channel connection is set to “Draft” only and creates the post as a draft on the platform (“Draft on platform”).
