Export reports and share them by email

Export statistics as CSV, Excel or PDF, output posts and press digests as PDF, and send daily or weekly email reports.

The statistics export is part of the post statistics (marked as beta in the app) and is limited to your plan’s analytics history. Workspace admins and owners set up email reports.

    Afterwards you have:

Export statistics in the post statistics via ⋮ → Export as CSV, Excel or PDF report. You send regular reports to any email addresses under Settings → Workspace → Email reports.

    What is this about?

Management, clients or colleagues without app access want to see results. ALLMEDIA.AI offers file exports and automatic email reports for this:

    • Statistics export from the post statistics as CSV, Excel or PDF report.
    • PDF report of posts from All Stories & Posts, organized by month or calendar week.
    • Press digest from Analyze → Reports (Research & Press Digest page) as PDF, Excel or CSV.
    • Email reports that go automatically to stored addresses daily or weekly.

All exports are created in the background. You get the download link via the notifications. The app lists earlier files under Recent exports; for the statistics export, behind the Download button.

    Step by step

    1. Open the post statistics. Choose Analyze → Post Statistics and set the time range at the top and, if needed, the Channel type. The export takes over both.
    2. Start the export. Click the ⋮ menu at the top right and then Export. In the Configure export dialog you adjust From and To and choose the format CSV, Excel or PDF report.
    3. Download the file. Confirm with Export. As soon as the file is ready, the Download button appears next to the menu, and the bell also notifies you.
    4. Output posts as a PDF report (optional). Open Content → All Stories & Posts, set the filters you want and click the Export as PDF icon. In the Configure PDF report dialog you define Title, Subtitle and the Grouping (By month or By calendar week) and click Create report.
    5. Create a press digest (optional). Open Analyze → Reports, search for your topic and click Export. Choose PDF report, Excel (XLSX) or CSV (raw), enter a Report title and click Start export.
    6. Set up email reports. Open Settings → Workspace → Email reports. Switch on Daily Report or Weekly Report, choose the Send Time (and, for the weekly report, the Send Day) and add the email addresses under Recipients.

    What the exports contain

    • CSV and Excel (statistics): one row per published post with title, channel, platform, platform type, topic, story idea, post content, publication date, Views (peak), clicks, likes, comments, shares, engagement and Analytics status. The status column explains a 0, such as “no data” or “Fetch failed”.
    • PDF report (statistics): cover page with your workspace logo, key figures (posts, views, interactions, avg. engagement), Views over time, Top 5 channels (views), Distribution by platform, Top 10 posts and a list of all posts.
    • PDF report of posts: cover page with logo and accent color from the workspace branding, optionally with key figures, followed by the posts by month or calendar week.
    • Press digest: hits from your search with selectable Excerpt length, optionally with search term, time range and hit statistics in the header.
    • Email report: number of created, published and failed posts. The daily report lists the posts created the previous day; the weekly report lists those published in the last seven days, plus the number of created posts per channel.

    Limits

    • The statistics export only goes back as far as your plan’s analytics history: Free 7 days, Pro 30 days, Agentic unlimited. Details on the plans are on the Pricing page.
    • The export is only possible once there is at least one channel connection with analytics enabled.
    • There is no read-only web link to statistics or reports. To share, you send the file or set up an email report.
    • For the send time, full hours from 6 a.m. to 6 p.m. are available.
    • Only workspace admins and owners see and change email reports.

    Tips

    • Add a logo under Settings → Workspace → Design. The PDF report of statistics, the PDF report of posts and the press digest use it on the cover page.
    • For analysis in Excel, the Excel format is more convenient than CSV, because column widths and line breaks are already set.
    • On the same page as the email reports you can switch on Monitoring Reports. They summarize the runs and hits of your News Monitor search jobs.

    Frequently asked questions

Can recipients without an ALLMEDIA account receive the email reports?

Yes. Under Recipients you enter any email addresses. Links in the report, however, lead into the app and require an account.

How long does an export file remain available?

Export files are only available for a limited time. If a file has expired, the dialog shows this and you simply start the export again.
